Refund cancellation fee and exceptions
Most Body Research events require prepayment of fees and offer an early registration discount. The reasoning behind this is that production of events is far easier and less costly in terms of time, money, and effort when people commit early. When this happens, we can take that energy that would be put into promotion and getting the word out and put it more into the fun and interesting part: content.
It is a problem in some urban areas a culture of waiting to the last minute and last minute plan changes. This is hard on event producers, to put it mildly.
Because what we are wanting is a commitment, we charge a cancellation fee. To explain, as this is not obvious to all, this both helps compensate for extra administrative work, coordination effort, and production costs. It also assures that people don’t casually register without actually committing and then change plans. If we regularly gave full refunds, it would defeat the purpose of prepayment and early registration discount.
We try to offer more affordable early registration discounts to make the commitment a good exchange.
That said, there are sometimes events that are beyond our control and we make exceptions. This would be something like family emergency, suddenly falling ill, having an accident, natural disaster, military invasion, etc.. In such cases, we’ll usually make an exception, unless we there are expenses already committed. If this is the case, feel free to write and ask.
Unless stated otherwise, the general rule is
- 30% of workshop fee if cancellation is more than two weeks before the event
- 45% of workshop fee if cancellation between 1 and 2 weeks before the event
- 60% of workshop fee if cancellation is within week of the event.
- 80% of workshop fee if cancellation on the day of the workshop.
Also note, that registration is not considered complete until payment is received and early registration discount is based on when payment is sent, not when registration form is filled out.
